Report of Officer and Advisor Election

You should report your newly elected officers using the electronic reporting system within two weeks of holding elections. Plan a transition meeting with new and old officers and consider utilizing the official installation procedure in the Officer's Handbook. One of the most important roles of a current officer is to ensure a smooth and effective transition of chapter leadership.

In addition to student officers, you must also elect and update your advisors. You can do this in the electronic reporting system by selecting Modify Advisor before you submit your Report of Officer and Advisor Election. Change an advisor's term to "none" if their term has expired or update the term if the advisor was re-elected. Each chapter should have at least four advisors (including one chief advisor), and each should serve four years. Ideally, one advisor's term should expire each year. A chapter must submit four advisors with valid terms of office on the Report of Officer and Advisor Election.

Attire for Initiation

Please remember that the requested attire for initiation is Business Formal. This applies to all those present including initiates, chapter officers & members, advisors, and guests. For example, suits or at least dress clothes with a tie and a sport coat/jacket or skirts/dresses and a blouse with a blazer as appropriate. Dress shoes should be worn and boots, tennis shoes, etc, should be avoided. Formal traditional cultural attire is also an acceptable alternative. A chapter should work with any individual who expresses difficulty meeting the expected dress code because of a lack of appropriate clothing or money to purchase clothing.

Your chapter should clearly communicate the expected dress code to anyone who will be attending initiation in advance of the actual ceremony. Proper attire is an important part of maintaining the dignity of the occasion and an excellent opportunity to show your chapter at its best!

Officer Transition

Ensure that all advisors and new officers are acquainted. After you have elected new officers, meet with them and pass on the acquired knowledge for your position. This includes obtaining the eligibility list, reserving rooms, location of initiation kit, responsibilities of officer positions, etc. Keep good notes and pass them on to your successor. Stoles & Honor Cords

Order your graduation items early to ensure prompt arrival for distribution to members before graduation. Chapter officers may order stoles and cords for the chapter on TBP store.

Many chapters have placed restrictions on individual orders of stoles and honor cords; you can determine if your chapter has a restriction by using the drop down menu when ordering. If your chapter does not appear; it has a restriction.

Annual Convention and Voting Delegate Credentials

Tau Beta Pi's 119th Convention will be held in Albuquerque, New Mexico, Thursday, October 30 - Saturday, November 1 at the Albuquerque Convention Center, and is hosted by the New Mexico Beta Chapter at the University of New Mexico.

The Association expects each collegiate and alumni chapter to send a delegate to this year's Convention. You should plan to arrive by the evening of Wednesday, October 29, in order to attend the Thursday morning Business Meeting, and plan to depart on the morning of Sunday, November 2.

Your chapter should have received an email regarding Convention Credentials - please review the instructions. The deadline to submit credentials is June 1. It is essential that your chapter identify a delegate and alternate before the summer. The credentials are to be submitted in the Chapter Reporting System. This is a graded report towards a Chapter Excellence Award.

After submitting credentials, TBP will email your chapter president that the report has been approved. TBP pays the full travel and on-site expenses of one voting delegate and 20 percent of airfare expenses (up to $200) for one non-voting delegate from your chapter. If you need an extension, contact Chapter Services prior to the deadline.

Monthly emails will begin around June 1 with additional details including travel, lodging, ticket pricing, etc.

Convention Site Letters of Interest

The deadline to submit Convention Site letters of interest for the 2029 Convention is June 1. Interested alumni or collegiate chapters may submit a request to host our annual Convention in a given location. The TBP Executive Council will secure financial and logistical data for all submitted chapter requests and other locations from all parts of the country. Click here for more information.

Join the Chapter Development Committee

The Chapter Development Committee (ChapDev) is looking for new members to join their team. This position is a three-year term that is packed with opportunities to work closely with chapters and other committees to create helpful resources for chapter improvement. ChapDev hosts monthly Chapter Chat sessions, creates chapter improvement resources, runs the National Interactive Chapter Exchange (NICE) Program, and organizes chapter development projects for struggling chapters. Engineering Futures Sessions: Spring 2025

The Engineering Futures (EF) webpages allows members to learn more about the program, view the upcoming online sessions, submit their interest in becoming a facilitator, and allows chapters to request an in-person session.

Tau Beta Pi chapters may submit requests to host an in-person EF session for your own members and/or as a service or outreach activity for your campus or community. Visit here to learn more and to request a session.

Note: The sessions are open to the public, so they are not limited to TBP members only. You also must have 15 people pre-registered two weeks before the requested session is scheduled (and the request for a session has to be six weeks prior to the request date). Executive Council Nominations

The 2025 TBP Convention will elect three members to serve on the Executive Council (EC). Members interested in serving on the EC must be nominated by a collegiate or alumni chapter by July 1. The Executive Director can work with candidates needing a formal nomination.

Candidates with experience in a variety of functions-management, finance, teaching, business, research, etc., and those with knowledge in the areas of image enhancement, branding, fundraising/development, alumni relations, and advising collegiate chapters are strongly encouraged to consider running. 2025 District Conferences

District Conferences are an invaluable training tool for new officers and members. The primary goal is to aid in chapter officer transition, provide a social opportunity for chapters, and on-boarding to help maintain continuity for chapter leadership. Conferences are coordinated by your District Directors who are a vital resource for your chapter. Dates are subject to change; check for updates and District Directors' contact information here.

Chapter Chats

The next Chapter Chat on End-of-Year Chapter Reporting will take place at 8:30 p.m. ET on Monday, April 7. Join this information session to learn about some of the processes/planning that new officers should consider as the school year ends.
