This site is used to centralize important announcements, documents, and discussions related to collegiate chapter operations. It includes access to Chapter Chat recordings, forms, FAQs, and much more. Share this site among your officers and advisors to help your chapter succeed!
Please inform your members of the Fellowship Program! Any current undergraduate member or electee is eligible as long as they are an initiated member on the date the fellowship is awarded.
Applications for fellowships are available online beginning December 10, 2021. Fellowship applications are due by February 1, 2022; the stipend is $10,000 for a year of graduate study. Additional information is here.
This system serves as a central hub for all project reports for the full year and quickly combines all reports for a given year into an annual report. In addition, the system keeps track of project reports from previous years, which provides examples for incoming members and officers during chapter transition periods.
- Any chapter member can fill out project reports on behalf of the chapter here.
- An additional Officer Portal is provided within the system to help manage your chapter's reports and submit your annual report once all projects are complete. After logging in, you can access this part of the Electronic Reporting System by visiting the Eligibility System, selecting Other Reports, then Project Reports. A video walkthrough of the Officer Portal can be found here.
Within two weeks after your approved initiation, submit the Report of Final Action indicating who was initiated. Upload your Roll Book Signatures as one document or PDF with your Final Action and submit your initiation fees within two weeks of your initiation. If you are holding a virtual initiation and need the remote signature form, see our Online Initiation page in Chapter Resources. Each candidate marked as initiated on your Final Action must have a signature or signature form. New members will not be added to the system until the Report of Final Action is processed.
Does your chapter have a backlog of membership certificates, cards, and keys? Tau Beta Pi is encouraging all chapters to review any backlog and develop plans to distribute membership items to alumni members.
Officers have the ability in the reporting system to utilize the Member Lookup function to identify alumni members. Do you have an extensive list of items that need to be distributed but don't know how to start? Send an email with the names of the members and he can provide you with a list of email addresses, mailing addresses, and more. If you are able to retrieve new contact information for your alumni members, please provide any new information or encourage them to their information with Headquarters.
Chapters with CEI funds available should consider using these funds to cover shipping costs of the items. Other chapters should plan to use a portion of any excess initiation fees to cover shipping costs. Chapters are also encouraged to schedule pick up dates for alumni to collect their items to reduce shipping costs.
This is an excellent project for chapters to build alumni relationships, assign members to a beneficial leadership project, and ensure that all Tau Beta Pi members receive the pieces of recognition deserved!
On November 1, 2021, Tau Beta Pi entered into a contract with a new supplier of pins and charms, resulting in the following changes in charges to chapters:
Sales Tax: The Association’s previous supplier had nexus, or business presence, in every state, and was obligated to collect state and local sales taxes, which were passed on to each chapter. Our new supplier, with its main business operations in one state, will no longer be required to collect state and local sales taxes, except in Massachusetts. Massachusetts chapters will incur a nominal 6.25 percent tax on pins and charms shipments, which the supplier is obligated to charge.
Shipping Charges: Chapters will now be charged a flat rate of $12.00 per shipment, a significant savings from our previous supplier.
Information about initiation fees and our billing process is available on the website. Invoices are now posted in the Electronic Reporting System and emailed around the first of the month. If your chapter did not use the online system to collect fees, please pay your fees promptly. Credit cards are accepted by calling HQ at 865-546-4578, or you can pay fees through the Store.
Your chapter's statement may not include fall initiation fees because your Report of Final Action may not have been processed. Initiation fees total $55 per new member and are due to HQ within two weeks of initiation. Contact if you have any questions. The office is open from 8:30 a.m. to 5:00 p.m. ET Monday through Friday. We are closed December 23-24 and December 30-31, with limited staff on December 27-29.
Chapter Chats will take place at 7:30 p.m. ET on the first and third Tuesday of each month. Join Alex Cross as he presents "Headquarters Resources and Materials" on Tuesday, December 7, 2021 — 7:30 p.m.
This session will lead you through the various free resources and supplies Headquarters offers for your chapter's use. This will be the final Chapter Chat for the semester.
All sessions are conducted using Zoom. Anyone interested in attending should register using the Google Form. A reminder will be sent one week prior to the session with the actual session information being provided on the day of the event. Sessions will be recorded and posted for viewing for those unable to attend. For links and passwords to Zoom recordings of past Chapter Chats, click here.
The Chapter Development Committee invites you to their December Office Hours on Wednesday, December 8 from 6:00 - 9:00 p.m. ET. You can chat one-on-one with committee members about anything related to your chapter. Have any issues you want to talk about? Register here. Join us at any time during that three-hour period.
The Chapter Development Committee is a group of Tau Bate alumni working on resources and programs to help TBP chapters in their efforts to grow and improve. The committee will present at least one special topic discussion each month, each on a different topic. These sessions focus on improving chapter health by increasing membership and leadership, developing engaging chapter activities, and increasing campus visibility.
Please contact the with any questions. We look forward to your participation!
